This tutorial has been prepared exclusively for The Craft Cafe by Jan K., The Proofer and will help you to understand how you can use clipart by inserting it into a Word document. This general procedure is also used to insert clipart into a Paint document, or into any other program you are using (such as a card-making program). These illustrations are based on a Windows XP operating system, with Word 2003. If you have either another operating system or version of Word, your screens may look slightly different. However, the general steps are the same.

This tutorial assumes that you have already downloaded the clipart you want to use. If you have never downloaded a free clipart collection that is in a zip file, such as those offered by The Craft Cafe, then you can get some help by reviewing What Are Zip Files...and why do I need WinZip?.

This tutorial can also be used to help you understand how to use clipart that is on a CD that you have purchased.

Step 1

Open a new Word document. To insert a clipart image into this document, follow these steps:

  • Go to the toolbar (the first row across the top that starts, at the left, with File, Edit, View)
  • Click on Insert
  • Click on Picture
  • Click on From File
Step 2
  • Click on the down arrow in the "Look In" box to find the folder that contains the clipart (hopefully, you remember where you put the clipart when you downloaded and opened the zip file!)
  • Select the clipart that you want to insert (as you can see in this screen shot, I've got the mouse on the clipart in the middle and I've gotten a little pop-up window that gives me some information about that clipart)
Step 3
  • Click on the clipart you want to insert
  • Click on the "Insert" button (near the bottom right of the "Insert Picture" window shown here in the middle of the Word document)

 

Step 4

The clipart now shows up in the Word document! It will usually be positioned to the left.

If you want to center it, or position it to the right, then click on the image, and click on the little icon on your toolbar that shows several horizontal lines that are "centered" (when you pass the mouse over it, the word "Center" appears, as you can just about see in this screen shot, near the top right corner).

 

Step 5

Before you do anything else in this Word document, it might be easier for you if you can "see" the whole document. You'll need to switch from "Normal" view to "Print Layout" view.

  • Click on View (on the toolbar)
  • Click on Print Layout (if you don't see all the selections in the drop-down menu, then click on the down arrow on the bottom of the menu to reveal all the selections

 

 

Step 6

Now you can add text to your Word document.

Hit the Enter key once or twice to get the cursor underneath the clipart image.

If you want to use a font other than your default font (which is usually Times New Roman), then click on the down arrow next to the Font window on your toolbar. Scroll through the fonts until you find the one you want, and then click on that font name.

This changes the font.

If you don't see the Font window on your toolbar, then it is hidden. Somewhere on your toolbar you should see a little gray box that has a down arrow in it. Click on that down arrow and the toolbar items that are hidden should appear. You should find the Font window there. If not, then click on another down arrow on your toolbar until you find it.

 

Step 7

If you want to change the font size, then click on the down arrow beside the Font Size window (the default size is 12, so look for that number).

The larger the number, the bigger the font size.

If you don't see the Font Size window, then look for it as described in Step 6.

 

Step 8

If you want to change the font color, then click on the down arrow next to the capital letter A (that might show up as black, or it will be the last color that you used). Select the color you want by clicking on the color box.

 

If you don't see the Font color window, then look for it as described in Step 6.

Step 9

Now you can type in whatever text you want!

This example shows that I "centered" the text under the clipart by using the same process as centering the clipart.

Step 10

Once you've entered text, if you want to change it in any way (font, font size, or color), then position the cursor at the beginning of the text, click, and drag the mouse to highlight the text. Then click on a different font, different size, or different color as desired.

Congratulations! You have now inserted clipart into a Word document, entered text, and played with fonts, font sizes, and font colors!!!

Use the process, in a very similar manner, to insert clipart into a Paint document. Paint provides a little more flexibility in working with clipart, inserting text, and being a little more creative.
